Privacy policy

This policy explains how Octonics Innovations ("we", "us") handles personal information collected through the OctoMediCare website at octomedicare.com (the "website"). It is written to be read, so it is short and plain.

1. Two different kinds of data

This policy covers only the public marketing website: the pages you are reading and the demo booking form.

It does not cover patient or clinical data processed inside the OctoMediCare software by our customers (clinics, hospitals and healthcare groups). That data belongs to and is controlled by each customer organization, and is handled under the agreement between that organization and Octonics Innovations. If you are a patient, please contact your healthcare provider about your records.

3. Information we collect

When you book a demo

We ask for:

• your name, the name of your clinic or hospital, your phone number and business email;
• your facility type and, optionally, the number of branches;
• your preferred demo date and time, and any optional notes about what you would like to see;
• whether you would like to receive product news (optional, unticked by default).

Please do not include patient or medical information in the form. We also record the date and time of the booking, the language you used, and a one-way coded version of your IP address used only to prevent spam and abuse.

When you contact us directly

If you contact us by WhatsApp, phone or email, we receive the information you choose to share, such as your number, name and message. WhatsApp messages are also subject to WhatsApp's own terms and privacy policy.

When you browse the website

We use Google Analytics 4 to understand how the website is used, for example which pages are visited and whether visitors book a demo. Google Analytics collects information such as pages viewed, approximate location, device and browser type. We configure it not to receive the contents of the booking form, and we do not send names, emails or phone numbers to analytics.

4. How we use information

• to arrange, confirm and deliver your demo, and to follow up on your enquiry;
• to send you a booking confirmation, and to notify our sales team of your booking;
• to send product news, only if you asked for it, and you can unsubscribe at any time;
• to protect the website and booking form against spam and misuse;
• to understand and improve the website.

We do not sell your personal information.

5. Cookies

The website itself does not need cookies to work. Google Analytics sets cookies (for example _ga and _ga_*) to tell visits apart. You can block or delete cookies in your browser settings, or use Google's opt-out add-on for Google Analytics; the website will still work. Details are in our cookie policy.

6. Who we share information with

We share personal information only with service providers that help us run the website and respond to you:

• our website hosting and email provider, which stores the website, the booking database and our email;
• Google, for website analytics;
• WhatsApp (Meta), if you choose to contact us on WhatsApp.

We may also disclose information where required by law or to protect our rights.

7. How long we keep it

We keep demo booking details for as long as we need them to respond to your enquiry and manage our relationship with you, and then delete them, unless we must keep them longer by law. You can ask us to delete your details at any time.

8. Security

The website is served over an encrypted (HTTPS) connection. Booking details are stored in a database that is not publicly accessible, and access is limited to people who need it to arrange demos. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

9. Your choices and requests

You can ask to see, correct or delete the personal information we hold about you, or to stop receiving product news, by emailing info@octonics.com. We may need to confirm your identity before acting on a request.

10. Changes to this policy

We may update this policy. The effective date at the top shows when it was last changed. Significant changes will be highlighted on this page.
