The problem
Clinic payroll is harder than a fixed salary list.
Doctors on commission, nurses on rotating shifts, part-timers and staff on leave all end up in one month-end spreadsheet. That is where errors and arguments start.
-
Numbers copied from three places
Rosters, attendance sheets and leave forms are re-keyed by hand before anyone can calculate a salary.
-
Commission disputes
Doctors ask how their commission was worked out, and the answer sits in a formula only one person understands.
-
One person runs everything
The same staff member calculates, approves and pays, with no second check before money leaves the bank.
-
Payroll outside the books
Salaries are entered into accounting as a single lump sum, so cost by department or doctor is a guess.
How it works
A guided monthly run in five clear steps.
The system walks your payroll officer through each stage, and nothing moves forward without the right approval.
- 1
Calculate
Salaries are calculated from salary components, the shift roster, attendance minutes and approved leave. Each line shows how its amount was reached.
- 2
Approve
A second person reviews and approves the run, so the preparer is never the only check.
- 3
Post
The approved payroll posts to the general ledger, with salary costs landing in the right accounts.
- 4
Pay
Payment is recorded against the run, so finance can see what has been paid and what is still due.
- 5
Publish payslips
Staff see their own payslip in self-service, without asking HR for a copy.
What you get
Clinic payroll software that shows its working.
-
Salary components
Build pay from the salary components your clinic uses, such as basic salary and allowances.
-
Proration
Staff who join or leave mid-month are paid for the days they actually worked.
-
Overtime and unpaid leave
Overtime minutes from attendance and unpaid leave from approved requests flow into the calculation.
-
Doctor commission plans
Pay doctors on billed or collected revenue, and let each doctor see their own commission.
-
End-of-service estimator
Estimate a leaving employee's end-of-service amount before the final settlement is agreed.
-
Posts to the ledger
Payroll lands in the double-entry general ledger, with no separate re-entry in accounting.
Doctor commission
Commission doctors can check for themselves.
Many clinics in Kuwait pay doctors a share of the revenue they generate. OctoMediCare supports commission plans based on billed revenue or on collected revenue, because the two give very different results when insurance claims are still open.
Commission is calculated from the same invoices and payments the clinic already records. Each doctor sees their own commission, which turns month-end questions into a quick look rather than a meeting.
- Commission on billed or collected revenue
- Calculated from recorded invoices and payments
- Each doctor sees only their own figures
- Included in the monthly payroll run

Why it matters
Fewer payroll surprises, for staff and for finance.
When payroll is calculated from the roster, attendance and leave records your managers already keep, the month-end becomes a review, not a rebuild.
Second-person approval, a clear explanation behind every amount, and posting to the ledger mean owners can see what staff cost by department, and staff can trust what lands in their account.
- One source for shifts, attendance, leave and pay
- Every amount traceable to its inputs
- Approval before posting and payment
- Salary costs visible in the general ledger

Kuwait leave defaults, set to your policies
OctoMediCare ships with leave defaults set up for Kuwait. They are a starting point: each clinic sets its own leave rules, salary components and end-of-service settings during setup. The end-of-service figure is an estimate that helps HR plan ahead.
Frequently asked questions
Does the payroll software use our shift rosters and attendance?
Yes. Payroll is calculated from the rosters, attendance (including late, early and overtime minutes) and approved leave recorded in OctoMediCare HR, and each amount shows how it was reached.
Can doctors be paid commission on collected revenue instead of billed revenue?
Yes. Commission plans can be based on either billed or collected revenue. We will help you decide which suits your clinic during the demo.
Who approves the payroll before it is paid?
The run needs approval from a second person before it is posted and paid, so the person preparing payroll is not the only check.
Is the clinic payroll software set up for Kuwait?
Amounts are in KWD to three decimals, the week follows the Friday and Saturday weekend, and Kuwait leave defaults are included, ready to adjust to your own policies.
Can staff see their payslips on their own?
Yes. Payslips are published to staff self-service, where staff also see their shifts, leave and documents.
