Patient queue management

Know who is waiting, where, and for how long.

OctoMediCare is a hospital queue management system built into the patient visit. Every patient gets a token at registration, waiting rooms show who is being called, and staff see each patient's current step on one flow board.

  • Queue tokens issued automatically at registration
  • Waiting-room display screens
  • Live status from arrival to pharmacy
  • Walk-ins and booked patients in one list

The problem

Crowded waiting rooms are usually an information problem.

Patients wait longer when nobody can see the queue, not only when there are too many of them.

  • "How long will it be?"

Patients keep returning to reception to ask about their turn, and the desk loses time answering.

  • Separate lists in every department

Triage, the doctor's room, the lab and the pharmacy each keep their own order, so a patient can be skipped or called twice.

  • Walk-ins disrupt booked patients

Without one shared list, staff juggle appointments and walk-ins by memory.

  • No data on bottlenecks

Managers know the clinic felt busy but cannot see which step is causing the delay.

How it works

One token follows the patient through the hospital.

The queue is part of the visit record, so each department sees the same patient in the right order.

  1. 1

    Token at registration

Reception registers the patient or checks in an appointment, and a queue token is generated with the visit.

  2. 2

    Shown on screen

Display screens in the waiting area show which token is being called and to which room.

  3. 3

    Status updates as they move

The patient's status changes from arrived, to in triage, to with the doctor, as each team opens the visit.

  4. 4

    Onward queues

Lab, radiology and pharmacy requests place the patient in the next department's worklist automatically.

What you get

Queue tools for every department, not just the front desk.

  • Automatic queue tokens

Tokens are issued with the visit, so reception never hands out numbers by hand.

  • Waiting-room screens

Show called tokens and room numbers in Arabic and English on screens in each waiting area.

  • Patient flow board

See every patient's current step across reception, triage, consultation and diagnostics.

  • Walk-ins and appointments together

Quick registration adds walk-ins to the same queue as booked patients, with a waiting list when rooms are full.

  • Triage-aware ordering

The nursing station queue can be ordered by clinical urgency, with nurses confirming the order.

  • Queues per branch

Each branch runs its own queues while managers compare activity across locations.

Why it matters

Fewer questions at the desk, and a clear view of where time is lost.

When patients can see their token on screen, they stop queuing to ask about it. Reception gets back to registering, booking and taking payments.

For hospital directors, the flow board turns a busy morning into something you can manage. You see whether patients are stuck waiting for triage, a doctor or the lab, and can move staff where they are needed.

  • A calmer waiting room with clear calling
  • No patient skipped between departments
  • Bottlenecks visible by step and by branch
  • Queue data feeding your reports

Frequently asked questions

Can the queue management system run on our existing waiting-room TVs?

Display screens show the queue from a web browser. We will review the screens you already have and show the display setup during the demo.

Do patients' names appear on the waiting-room screen?

The screen shows the queue token and the room. This keeps patient names off public displays while still telling each patient when it is their turn.

How are walk-ins handled when the doctor is fully booked?

Reception registers the walk-in quickly and adds them to the queue or the waiting list. Staff see booked and walk-in patients together, so nobody is forgotten.

Does the hospital queue cover the lab, radiology and pharmacy too?

Yes. When the doctor orders a test or prescription, the patient appears in that department's worklist with the same visit, so the next team knows who is coming.

Bring order to your busiest waiting room.

We will map your departments and waiting areas into OctoMediCare queues and show a live flow board in the demo.
